Wien Energie, a leading company in the energy sector, was faced with the challenge of modernizing its existing project management and documentation platforms of Jira and Confluence Server. The decision was made to migrate from server to the cloud. The cloud-based solution promised seamless integration of updates and new functions to better meet the company's growing requirements and ensure a higher standard of security. Wien Energie implemented the successful cloud migration together with catworkx Austria.

Wien Energie previously used Jira and Confluence Server as core elements of their project management and collaboration processes. The decision to switch from server to cloud was based on the need to be able to continue to guarantee the higher security standard, improve scalability and further optimize workflows. The server-based systems were reaching their limits when it came to integrating new technologies and enabling location-independent collaboration, for example. In addition, the manual management of updates and increasing security requirements posed challenges.

Until the migration, Wien Energie used various apps for its work processes in addition to Jira and Confluence. These played a central role in their processes. The strong networking of the existing instance with WienIT's support infrastructure was particularly complex. An automated exchange of tickets and information as well as parallel workflows were an integral part of the existing system. The time-critical situation required a swift migration to ensure a smooth transition and avoid interruptions in daily operations. However, the most crucial component for Wien Energie was data storage in the EU. As the Atlassian cloud met this criterion, the choice was not difficult.

A particular challenge during the migration was that the apps used intensively by Wien Energie were not available in the cloud. The catworkx experts solved this problem by replacing some of the apps with Jira's own solution, in this case Plans (Advanced Roadmaps). Teams that had previously worked intensively with the apps were initially critical of the changeover. However, the targeted demos of alternatives helped to dispel these concerns. Overall, the new, more modern design of the cloud environment was received positively within the company.

Thanks to the migration, Wien Energie was finally able to issue the urgently needed licenses that were previously not possible due to bottlenecks in the on-prem version of user licensing. The cloud migration has solved this problem and licenses can now be issued according to the users. Following the successful migration, Wien Energie is now focusing on securing ongoing operations in the cloud, implementing user requests and supporting teams in how best to use the new on-boarding tools and features.

The migration to Jira and Confluence Cloud enables Wien Energie to work more flexibly, securely and efficiently. The teams benefited from new functions, seamless collaboration and improved scalability. With the support of catworkx, Wien Energie was not only able to overcome its existing challenges, but also create a future-proof platform for further growth.
